1.1 Why do we process personal data?
Your personal data is processed by RSC Leuven for the following purposes and on the following legal grounds:
- to enable you to participate in the activities of RSC Leuven (performance of a contract)
- Sending newsletters, class changes and invitations. (legitimate interest)
- Obtaining government funding (legal obligation)
1.2 What data do we process?
We may request, store, collect and process the following personal data from you for the following purposes:

- Personal characteristics: gender, date of birth, place of birth, nationality

1.4 Disclosure to third parties
We may disclose the data you provide to us to third parties if this is necessary for the purposes described above.

- providing the internet environment (web hosting);
- providing IT infrastructure (including the IT network, etc.);
- producing (and distributing) newsletters and invitations.
We never pass on personal data to processors (other parties) other than those with whom we have concluded a data processing agreement.
We naturally make the necessary arrangements with these parties (processors) to guarantee the security of your personal data.
Furthermore, we will not pass on the data provided to third parties unless this is legally required and/or permitted, such as, for example, in the context of a police or judicial investigation.
We may also share personal data with third parties if you give us your consent to do so. This consent may be withdrawn at any time, without this affecting the lawfulness of the processing prior to its withdrawal.
We do not disclose personal data to parties established outside the EU.
1.5 Minors
We only process personal data of persons under the age of 18 if written consent has been given by a parent or legal representative.
1.6 Retention period
RSC Leuven does not retain personal data for longer than is necessary for the purpose for which it was provided or as required by law. RSC Leuven undertakes not to retain the data for longer than 5 years after your last registration with the club, in order to continue inviting you to our activities and to be able to analyse our membership base.
1.7 Data security
The following appropriate technical and organisational measures have been taken to protect personal data against unlawful processing:
- All persons who may access your data on behalf of RSC Leuven are bound by a duty of confidentiality.
- We operate a username and password policy on all our systems;
- We pseudonymise and ensure the encryption of personal data where appropriate;
- We make backups of personal data to enable recovery in the event of physical or technical incidents;
- We regularly test and evaluate our measures;
- Our staff are informed of the importance of protecting personal data.
1.8 Your rights regarding your data
You have the right to access, obtain a copy of, rectify or erase the personal data we have received. You can contact us for this purpose via the address mentioned above.
You may also object to the processing of your personal data (or part thereof) by us or by one of our processors.
You also have the right to have the data provided transferred by us to yourself or, on your behalf, directly to another party. We may ask you to provide proof of identity before we can comply with the aforementioned requests.
